What this notice covers
This notice explains how Avian Creative Systems handles information submitted through this website's triage, project, and paid-review request forms and how those inquiries are used to provide a direct response.
Information you choose to provide
Depending on the route, the form may collect your name, business email, business or organization, public website URL, stated priority, requested project type, project goal, general source category, and contact consent. Do not submit passwords, card or bank information, government identifiers, private client records, medical information, or other unnecessary sensitive data.
Quotes, invoices, and payment
This website collects inquiries, not payments. Phil communicates with a prospect, confirms scope, sends a written quote, and waits for approval before sending an invoice separately. The Avian website does not provide checkout or collect, process, or store card or bank information.
Technical and anti-abuse information
The website may process the referring page, browser user-agent information, submission time, and a protected technical signal derived from the connection source for rate limiting and abuse prevention. The public form also uses a hidden honeypot field to reduce automated spam.
How information is used
- Review and respond to your website or project request.
- Assess fit, clarify scope, and prepare a requested estimate or proposal.
- Deliver the inquiry to the Avian Creative Systems Workspace mailbox.
- Protect the form, diagnose delivery failures, and preserve an inquiry record.
- Maintain business records when a conversation becomes an active engagement.
Submitting the form does not add you to a newsletter or general marketing list.
Reference files
Optional PNG, JPG, WebP, and PDF files are validated and transmitted with the inquiry notification. The website database records file names, types, sizes, and totals for delivery and audit purposes; it does not retain the submitted file bytes as website object storage. Copies delivered to the Workspace mailbox remain subject to mailbox retention and any later business-record requirements.
Storage, service providers, and retention
Inquiry data may be processed through the website hosting, database, and Google Workspace services used to operate the form and mailbox. Information is retained only as long as reasonably needed to respond, maintain legitimate business records, protect the service, comply with an obligation, or resolve a dispute. Test submissions are labeled and may be removed after verification.
Sharing
Avian does not sell inquiry information. Information may be handled by infrastructure and Workspace providers needed to operate the website and email. It may also be disclosed when required by law, necessary to protect rights or systems, or directed by you for an approved project workflow.
Your choices
You can choose not to use the form. You may request correction or deletion of an ordinary inquiry record when retention is not required for an active engagement, security record, legal obligation, or dispute. Use the project inquiry form and state that the request concerns privacy.
Security and limits
Reasonable technical and operational measures are used to limit form abuse and protect inquiry handling, but no internet transmission, mailbox, or storage system can be guaranteed completely secure. Submit only the information needed for the initial conversation.
Changes to this notice
This notice may be updated when the form, hosting, storage, or business process changes. The effective date at the top identifies the current public version.
